Job Purpose: The Executive Assistant to the CEO The Executive Assistant to the CEO is responsible for providing administrative support and efficiently managing all aspects of the CEO's office. This position requires a high level of dedication, discretion, and organizational prowess to assist the CEO in executing their responsibilities effectively and ensuring the smooth operation of the executive office.
Key Results Areas:

Efficiently manage the CEO's schedule, priorities, goals, and objectives to maximize productivity and optimize time management.

Facilitate seamless communication between the CEO and internal/external stakeholders to ensure all parties are well-informed and aligned.

Support the CEO in decision-making processes by conducting in-depth research, analyzing data, and preparing relevant reports and presentations.

Coordinate and organize high-level meetings, conferences, and travel arrangements, anticipating the CEO's needs and preferences.

Proactively handle confidential and sensitive information with the utmost discretion and professionalism.

Streamline office operations, including supply management, document organization, and office maintenance to create an efficient and functional workspace for the CEO.

Essential Duties:

Maintain the CEO's schedule, proactively plan appointments, and handle meeting conflicts, while ensuring the CEO's time is optimized.

Efficiently manage all incoming and outgoing communications, including phone calls, emails, and written correspondence, promptly responding on the CEO's behalf when required.

Plan and coordinate executive-level meetings, compile meeting agendas, take accurate minutes, and follow up on action items as needed.

Conduct thorough research on various topics, compile data, and generate wellstructured reports and presentations to support the CEO's decision-making process.

Act as a dependable point of contact between the CEO and other team members, clients, and external partners, ensuring effective communication and information flow.

Handle sensitive and confidential matters with the highest level of discretion and confidentiality.

Travel Arrangements: Arrange all travel logistics for the CEO, including transportation, accommodation, and itinerary planning.

Oversee office operations, including procurement of office supplies, filing systems, and office organization, to maintain an efficient and productive workspace for the CEO.
Skills/Qualifications/Competencies:

Bachelor's Degree with a minimum of 5 years of executive-level administrative support experience, ideally assisting C-level executives.

Exceptional organizational skills with the ability to prioritize tasks, manage deadlines, and handle multiple responsibilities simultaneously.

Strong verbal and written communication skills, displaying professionalism and clarity in all interactions.

Demonstrated ability to identify challenges and propose practical solutions to support the CEO effectively.

Impeccable integrity and a high level of discretion in handling sensitive information and confidential matters.

Ability to thrive in a dynamic and fast-paced environment, adapting to changing priorities and demands.

Proactive approach to tasks, taking initiative, and displaying resourcefulness in achieving goals.

Advanced skills in office software applications, including MS Office suite including Word, Excel and PowerPoint.

Availability to work outside regular business hours, including evenings and weekends, to accommodate the CEO's schedule and urgent matters.
