Job Title: Executive Assistant to CEO  

Hours: 40 hours

Annual Salary: $44,000-$48,000 per annum

Reporting Supervisor: CEO 

Probationary Period: 6 months

Job Purpose: The Executive Assistant to the CEO The Executive Assistant to the CEO is responsible for providing administrative support and efficiently managing all aspects of the CEO's office. This position requires a high level of dedication, discretion, and organizational prowess to assist the CEO in executing their responsibilities effectively and ensuring the smooth operation of the executive office. 

 

Key Results Areas:

  • Efficiently manage the CEO's schedule, priorities, goals, and objectives to maximize productivity and optimize time management.

  • Facilitate seamless communication between the CEO and internal/external stakeholders to ensure all parties are well-informed and aligned.

  • Support the CEO in decision-making processes by conducting in-depth research, analyzing data, and preparing relevant reports and presentations.

  • Coordinate and organize high-level meetings, conferences, and travel arrangements, anticipating the CEO's needs and preferences.

  • Proactively handle confidential and sensitive information with the utmost discretion and professionalism.

  • Streamline office operations, including supply management, document organization, and office maintenance to create an efficient and functional workspace for the CEO.

Essential Duties:

  • Maintain the CEO's schedule, proactively plan appointments, and handle meeting conflicts, while ensuring the CEO's time is optimized.

  • Efficiently manage all incoming and outgoing communications, including phone calls, emails, and written correspondence, promptly responding on the CEO's behalf when required.

  • Plan and coordinate executive-level meetings, compile meeting agendas, take accurate minutes, and follow up on action items as needed.

  • Conduct thorough research on various topics, compile data, and generate wellstructured reports and presentations to support the CEO's decision-making process.

  • Act as a dependable point of contact between the CEO and other team members, clients, and external partners, ensuring effective communication and information flow.

  • Handle sensitive and confidential matters with the highest level of discretion and confidentiality.

  • Travel Arrangements: Arrange all travel logistics for the CEO, including transportation, accommodation, and itinerary planning.

  • Oversee office operations, including procurement of office supplies, filing systems, and office organization, to maintain an efficient and productive workspace for the CEO. 

 

Skills/Qualifications/Competencies:

  • Bachelor's Degree with a minimum of 5 years of executive-level administrative support experience, ideally assisting C-level executives.

  • Exceptional organizational skills with the ability to prioritize tasks, manage deadlines, and handle multiple responsibilities simultaneously.

  • Strong verbal and written communication skills, displaying professionalism and clarity in all interactions.

  • Demonstrated ability to identify challenges and propose practical solutions to support the CEO effectively.

  • Impeccable integrity and a high level of discretion in handling sensitive information and confidential matters.

  • Ability to thrive in a dynamic and fast-paced environment, adapting to changing priorities and demands.

  • Proactive approach to tasks, taking initiative, and displaying resourcefulness in achieving goals.

  • Advanced skills in office software applications, including MS Office suite including Word, Excel and PowerPoint.

Working Conditions:

  • Work effectively in a fast-paced and high-pressure environment while maintaining composure and professionalism.

  • Handle sensitive information with the utmost confidentiality and adhere to strict data protection protocols.

  • Availability to work outside regular business hours, including evenings and weekends, to accommodate the CEO's schedule and urgent matters.

  • Ability to travel
